Rental terms and conditions

The company Chillouttrips, specializing in the rental of motorhomes (camper – campervan), is licensed by the Greek National Tourism Organization (E.O.T.) under No. 1042E81000466101. The following rental terms and conditions apply to its vehicles, which we kindly ask you to read carefully.

Basic Motorhome Rental Rules

Delivery - Pickup

Chillouttrips delivers and picks up its motorhomes 24/7. However, for vehicle deliveries and pickups after 22:00 and before 08:00, an additional fee of €30 applies, which will be calculated at pickup.

Vehicle pickup is free of charge from Chania Airport and Port, while pickup from Heraklion Airport and Port incurs an additional charge of €150. Similarly, vehicle return is free of charge at Chania Airport and Port but incurs an additional charge of €150 at Heraklion Airport and Port.

Please inspect the vehicle before pickup to confirm its condition.

Driver Requirements and License

Upon vehicle pickup, you must present a valid international and original driving license along with an original ID or passport. If there are additional drivers, they must also present their original driving license and ID or passport. Without these documents, the vehicle cannot be rented, and the renter will be charged a non-refundable fee. Chillouttrips reserves the right to cancel the booking without a refund. Copies of the above documents are not accepted.

Drivers must hold a category B driving license for at least three (3) years, be at least 25 years old, and not exceed 70 years old.

Only authorized drivers are allowed to operate the vehicle. Lending the vehicle to others is prohibited.

Rental Period

The minimum rental period is four (4) days, and the motorhome must be returned on the exact date and time specified at booking. A late return will result in an additional daily rental charge.

In cases of delays due to force majeure, please contact the company.

Pricing Policy

The prices published on Chillouttrips.gr are listed and charged in euros.

The minimum rental cost is calculated per day and not on a 24-hour basis. There are no mileage limits.

Prices include:

• 24% VAT
• Road taxes
• Roadside assistance
• Comprehensive vehicle insurance
• Third-party liability insurance

Prices do not include fuel costs or traffic fines.

Vehicles are provided with a full fuel tank and must be returned with a full tank. If returned with less fuel, the renter will be charged for the missing fuel.

Rental rates and additional service fees are available on Chillouttrips.gr. If a rental period crosses into a new season, the price will be adjusted accordingly.

Vehicles cannot be picked up unless full payment and the deposit have been completed.

Payment

Payments must be made via the designated online procedures or bank deposit before vehicle pickup. Extensions or additional equipment rentals (bicycles, generators, etc.) must be paid in the same manner.

Cash payments are also accepted for last-minute bookings or additional equipment rentals.

The renter must provide a credit card, which will be used to cover any security deposit or additional charges.

Security Deposit

A security deposit of €1,000 will be held on the driver’s credit card upon vehicle pickup. The release of this amount can take up to 14 days, depending on the issuing bank, provided there is no vehicle damage.

If the renter fails to pay the booking amount or does not have the €1,000 deposit available upon arrival, Chillouttrips reserves the right to cancel the rental agreement without further legal action. In such cases, any payments made will be non-refundable.

Accepted payment methods include Visa, MasterCard, Maestro, American Express, and other payment methods.

The credit card holder’s name must match the driving license name.

Booking Cancellations

Cancellation fees apply as follows:

• More than 60 days before rental: Free
• 59 - 20 days before rental: 40% of the rental fee is retained
• 19 - 1 days before rental: 100% of the rental fee is retained
• Same-day cancellation or no-show: 100% of the rental fee is retained

Cancellation requests must be submitted in writing via email.

If a vehicle is returned earlier than the agreed rental period, no refunds will be issued.

If rental dates are changed within 60 days of pickup, reducing the rental period, no refund will be given for unused days.

Vehicle Insurance

All Chillouttrips rentals include comprehensive vehicle insurance and third-party liability insurance, covering:

Bodily injury liability up to €1,300,000

Property damage liability (excluding the rental vehicle) up to €1,300,000

Motorhomes are insured with a licensed insurance company under Chillouttrips’ responsibility.

The insurance is valid only if the vehicle is used in full compliance with the rental agreement. Otherwise, the renter is fully responsible for any damages or malfunctions.

Roadside Assistance

Chillouttrips provides 24-hour roadside assistance in Crete at its own expense, in cooperation with an authorized roadside assistance company.

Driving Restrictions

Renters may drive anywhere in Crete except:

Beaches or unpaved/gravel roads (except for recognized campsite access roads or areas under road construction). Driving on gravel roads cancels all insurance coverage.

The vehicle must not be used for transporting migrants, heavy objects, or any misuse of the rental agreement.

Chillouttrips reserves the right to restrict vehicle movement in certain areas due to adverse road or weather conditions.

The driver must obey all traffic laws and speed limits.

If any of the above restrictions are violated, all insurance coverage will be void, and the renter will be fully responsible for all damages.

Vehicles must remain within Crete and cannot be taken to other destinations.

Vehicle Replacement & Compensation

If the reserved vehicle is unavailable due to unforeseen circumstances, Chillouttrips reserves the right to provide a replacement vehicle at no additional cost. If no vehicle is available, a full refund will be issued, but no further claims for compensation will be entertained.

Refunds

Unfortunately, refunds cannot be given for any unused portion of your vacation or even if the renter does not use the vehicle at all (no-show or last minute cancellation). Chillouttrips is not responsible for any material or immaterial damage to the renter due to the use of the caravan or any mechanical defects thereof. Refunds for rentals that have been paid for and subsequently cancelled prior to collection will be subject to the cancellation policy. If a refund is determined to be necessary, Chillouttrips will process the refund to the original credit card charged or issue a refund cheque if payment was made by direct cash. All refunds will be made in euros and Chillouttrips accepts no responsibility for fluctuations in exchange rates.

Service hours

During the entire rental period you can call us between the hours of: 08:00 a.m. - 10:00 p.m. or any time of the day for urgent cases.
The preferred method of communication is correspondence via e-mail ( [email protected] ).

Renter obligations - Reasons for non-insurance coverage

At Chillouttrips we do not allow smoking in our vehicles. In case of violation of this policy, you may be charged additional costs for biological cleaning. We remind you that the damage caused by cigarettes to our vehicles is not covered by any insurance coverage and is your responsibility. Also, at Chillouttrips we do not allow pets to stay inside the caravans.
Also, no changes of any kind are allowed to the interior or exterior of the vehicles.

The renter is fully responsible for any damage to the vehicle or third party property if:

• The damage is caused in case of violation of the terms of the rental agreement,
• The damage is caused when driving under the influence of drugs, alcohol and other substances,
• The vehicle is damaged in any way, by partial or total immersion in the sea or in water in general,
• Damage is caused to the vehicle by the intentional misconduct of the renter driver,
• Damage or loss is caused to any personal belongings,
• The damage is caused by intentional or unintentional use of incorrect or contaminated fuel,
• The damage is caused by placing fuel in the water tank,
• The vehicle is damaged during its use, in violation of any legislation or regulation that controls the circulation of vehicles,
• Damage occurs to the windshield, plastic windows and the interior of the vehicle (as they are not covered by insurance),
• Damage occurs to tires and under the vehicle from potholes or off-road driving.
• In case of damage not covered by the full risk insurance, the additional amount of EUR 1,000 will be charged from the guarantee.
• In case of an accident, for the full risk insurance to be valid, the renter must call & inform immediately, and at the scene of the accident, the Greek authorities (100), the insurance company Eurolife FFH (2109303800) and Chillouttrips (+306937486745). If there are any injuries, an ambulance should also be called (tel.: 166 or 112).

Modification of the terms

Chillouttrips has the right to modify all or any of the above rental terms and conditions without further notice. Please visit and read the relevant section of the company's terms and conditions frequently or whenever you need to make a reservation.

Viewing the terms in a language other than Greek

The terms are drawn up in the Greek language only. The translations that exist may have a slightly different meaning. For this reason, we inform you that in any case of difference in both content and meaning, the Greek version will prevail.

Applicable law

In all our transactions, we inform you that we apply Greek law and only this. Also, in the event of any dispute, the courts of Chania, where the company has its registered office, will be competent to resolve it.

The above terms apply to all reservations.

(*) Violations of the Highway Traffic Code (HTC)

The driver is fully responsible for any violations of the Highway Traffic Code and must pay all corresponding fines. If the renter does not pay the fines related to his own violations with the rented vehicle, Chillouttrips has the right to include the corresponding charges for the violations as well as administrative expenses in the total rental fee.
In case the vehicle is immobilised (article 46 of the Highway Traffic Code) by the police or other authority for violations by the driver, then you must inform Chillouttrips as soon as possible.
In case the vehicle details are seized by the police or other public or municipal

authority, you must inform Chillouttrips immediately. In this case, a replacement vehicle is provided for a fee (upon availability), as long as the driver retains the right to drive and bears no responsibility for the seizure of documents. In the event that the seizure time of the traffic data exceeds the rental period, and this is proven to be due to the renter, then you will be charged the immobilization fees, with an amount equal to the daily rent for the period of immobilization beyond the rental.
In the event that a charge is sent to Chillouttrips for a violation that was committed during your rental, then we will inform you regarding the violation and/or we will forward the rental, renter and driver details to the competent authority.

(**) Credit card deposit / temporary hold

When you pick up your vehicle, we will hold a bond on your credit card for the amount of the 1,000 EUR deposit. We do not remove the bond from your credit card at the start of your rental, but we simply have the authority to remove it in the unfortunate event of an accident for which the renter is responsible. The hold on your credit card covers the liability of the accident / damage guarantee plus any additional costs such as refueling, cleaning of the caravan, any traffic violations of the (K.O.K.), losses of additional equipment, breakages and any related charges. Each separate accident will incur an additional charge. A credit card imprint must be present on all rental agreements and must be the primary renter's credit card, unless prior arrangements have been made. Chillouttrips does not accept debit cards for bond imprinting. In the event that a credit card is not available, Chillouttrips will hold a cash deposit for 14 days after the end of the rental.
